ROLLER is TicketSync's fastest integration. Instead of checking for updates on a timer, ROLLER notifies TicketSync the instant something happens — a ticket is bought, a guest scans in at the gate — so your ActiveCampaign data is always current.

Before you start: connect ActiveCampaign

Every TicketSync integration writes into the same ActiveCampaign account, so this is a one-time setup step done before connecting ROLLER (or any platform):

  1. In your TicketSync dashboard, under 01 — Connect ActiveCampaign, click Connect and enter your ActiveCampaign API Key and Base URL (found in ActiveCampaign under Settings → Developer).
  2. Click Save & Connect.
  3. Click Deploy to ActiveCampaign to create the TicketSync data structure in your account — a one-time, one-click step that every connected platform writes into.

Connect ROLLER to TicketSync

  1. In your TicketSync dashboard, open the ROLLER card under "Connect ticketing platforms" and enter your Client ID and Client Secret. You'll find both in your ROLLER Venue Manager account.
  2. Click Save & Connect. TicketSync checks your credentials and automatically detects your venue's trading currency — nothing to configure.
  3. TicketSync automatically finds all of your venue's gate and location names, so you can map them to ActiveCampaign tags later if you'd like (see below).
  4. Click Register Webhook. This is the last step — TicketSync connects itself to ROLLER so bookings and gate scans are delivered the moment they happen. There is nothing to set up on the ROLLER side.

That's it — most venues are fully connected in under two minutes.

What happens after you connect

Every ticket in a booking becomes its own record in ActiveCampaign — not one record per order, but one per ticket. A family of four buying four tickets creates four individual visit records, each tracked separately from that point forward.

The moment someone scans their ticket at the gate, their record updates to "Checked-In" with the gate name and the exact scan time. Because ROLLER pushes this to TicketSync in real time, there's no waiting — it typically shows up in ActiveCampaign within a few seconds.

What data syncs

For each contact

  • Full name
  • Email address
  • Phone number
  • Date of birth
  • Gender
  • Mailing address (street, city, state/province, postcode, country)
  • Email marketing consent — only synced as "yes" if they opted in
  • SMS marketing consent — only synced as "yes" if they opted in
  • VIP status, if flagged in ROLLER

For each ticket

  • Order number
  • Ticket type (e.g. Adult, Child)
  • Ticket price (the order total split evenly across every ticket, to avoid inflating totals)
  • Total order value
  • Party size
  • Planned visit date
  • Purchase date and time
  • Check-in status (Purchased → Checked-In)
  • Gate name
  • Scan time
  • Total visits to date
  • Days since their last visit
  • Days since their last purchase

These make it straightforward to build automations such as "send a thank-you email the evening after someone visits" or "flag a guest as VIP once their lifetime spend crosses a threshold."

Fine-tune your setup (optional)

Once connected, two more things can be configured from Step 3 — Configure mappings in your TicketSync dashboard:

Map gates to ActiveCampaign tags

Since ROLLER reports real, named gates, you can assign an ActiveCampaign tag to each one. When a ticket is scanned at that gate, TicketSync applies the tag to the contact automatically — useful for triggering gate-specific automations. Reference it directly in ActiveCampaign automations with %CO:ticketsync-data:gate_name%.

Group ticket types into categories

Combine similar ticket types (e.g. "Adult" and "Adult General") into a single category. This sets the Ticket Category field on every visit record, so your automations and segments can group by category instead of exact ticket type name. Reference it with %CO:ticketsync-data:ticket_category%.

Good to know ROLLER is real-time, not on a delay — it's the fastest of TicketSync's integrations. Nothing needs to be configured inside ROLLER itself; the whole connection happens from the TicketSync dashboard.
